Hotel Management
- Manage ongoing event development to ensure a logistically sound program
- Negotiate and review hotel contracts on client's behalf
- Monitor deposits/cancellation schedules and critical dates on client's behalf
- Manage room blocks
- Plan and manage all program details with selected hotel
- Procure and coordinate transportation services
- Monitor meeting space to ensure it meets the client's needs
Food & Beverage Management:
- Negotiate and plan food and beverage functions
- Provide off-site event services if needed
- Recommend facilities and total theme concepts
- Plan and manage catering, decorator and entertainment services
- Provide ongoing written and verbal communication with hotels, ancillary vendors and client to ensure all specifications are being met and exceeded
- Develop line item budget with client's parameters
- Monitor all expenses and maintain costs within client's budget
On-site Management
- Arrive prior to program to conduct pre-conference meetings with conference venue, hotel and ancillary suppliers
- Perform walk-thorough to re-inspect all facilities and venues
- Plan and supervise all social functions at the hotel
- Plan and supervise set up of all function space and meeting rooms
- Organize and control all shipments (equipment, printed material, etc.)
- Plan and supervise any/all off-site events
- Oversee transportation services
- Meet with hotel management to review billing on a daily basis
- Review supplier billing upon completion of each event

Training Session Management
- Manage equipment load-in
- Manage technical rehearsals
- Manage speaker rehearsals
- Provide technical support for breakout sessions
Post-Program Reconciliation
- Ensure accurate and timely billing to client
- Dispute any discrepancies with invoices immediately post-conference
